2. Cleaning and sanitation schedule
- · Daily: contact surfaces, sinks, washrooms, floors, waste removal, sanitizer concentration test
- · Weekly: under equipment, shelving, drains, fridge interiors, door handles and switches
- · Monthly: walls, vents, light diffusers, dry storage rotation, ice machine
- · Quarterly: hood and duct cleaning by a certified contractor (retain the certificate)
- · Record who performed each task and when; the manager signs weekly

4. Health and safety records (OHSA)
- · Health and safety representative or joint committee minutes and workplace inspection reports (monthly where a committee exists)
- · Training register: OHSA awareness, WHMIS, first aid, role-specific
- · Safety data sheets index, current within three years
- · First aid kit inspection per WSIB Regulation 1101
- · Critical injury procedure and Ministry of Labour notification record
5. Incident and complaint register
- · Date, time, location, people involved, description in factual language
- · Immediate action taken and who was notified
- · Root cause and corrective action with an owner and due date
- · Customer illness or injury complaints — notify your insurer and, for suspected foodborne illness, the local public health unit
- · Retain records for a minimum of three years; longer where your insurer or regulator requires it
6. Inspection readiness pack
- · Current business licence, food premises notification and posted inspection notice
- · Food handler certificates and staff training records
- · Last 12 months of temperature, cleaning and maintenance logs
- · Pest control service reports
- · Supplier list and recent invoices
- · Written policies: violence, harassment, accessibility, privacy
